We are looking for a responsible administrator to manage customer orders, transport, customer service, purchases, and invoicing. The role is suitable for someone who is structured, service-oriented, and familiar with administrative processes in a fast-paced business environment.
ResponsibilitiesReceive and register customer orders in the business system, ensuring the accuracy of items, prices, and delivery terms.
Plan and book transport, follow up on deliveries, and communicate with carriers to ensure timely delivery.
Handle incoming customer inquiries via phone and email, provide quick and professional customer service, and follow up on cases until resolution.
Administer orders to suppliers, monitor delivery times, and ensure material flow for production or storage.
Participate in the purchasing process by obtaining quotes, comparing prices and delivery terms, and suggesting cost-effective alternatives.
Process supplier invoices and customer invoices, verify documentation, and complete and create documentation for further processing in the financial system.
Collaborate with internal teams (production, warehouse, finance, and sales) to secure customer commitments and ensure effective information flow.
Participate in improvement work and suggest efficiencies in administrative routines and system support.
Experience in administrative work with customer orders, transport, or purchasing in a logistics-oriented environment.
Good communication skills and experience in customer contact via phone and email.
Basic understanding of invoice management and administrative financial processes.
Familiarity with business or ERP systems and good knowledge of the Office suite.
Detail-oriented, service-minded, and solution-oriented with a good ability to prioritize in a fast-paced environment.
Good knowledge of Swedish and English, both spoken and written.
You are structured, responsible, and have a proactive attitude. You enjoy both independent work and being part of a team. You communicate clearly, manage multiple parallel tasks, and maintain high quality in your documentation.
